These rental terms will form part of your rental agreement with PC Truck Rental
You will be expected to confirm that you have informed your insurance company/broker that you have hired a vehicle from us and that it has been added on to your fully comprehensive fleet insurance policy.
If you fail to inform your insurance company/broker of changes to vehicles being driven on your policy, including vehicles hired from PC Truck Rental, and in the unfortunate event of an accident, and if your insurers refuse to pay out as a result of you not adhering to the insurance terms, you will be liable to pay PC Truck Rental for the cost of replacing the vehicle.
It is your responsibility as the operator to make your sure drivers have the correct licence when hiring vehicles from PC Truck Rental – PC Truck Rental do not take any responsibility for this (please make sure you do your licence checks online, do not take the drivers word they can drive a particular class of vehicle – licence checks should be carried out every 3 months by you).
Additionally, in the event of an accident/insurance claim, the vehicle will remain on hire and be charged weekly until PC Truck Rental are paid out for the repair or cost of replacing the vehicle. The VAT amount and excess must be paid direct to PC Truck Rental (see your policy).
It is your responsibility to ensure that the vehicle is returned to PC Truck Rental to enable them to carry out a full inspection, you must arrange a booking with our workshop (any customers that fail to turn up on the agreed appointment time without giving 24 hours notice will be invoiced a £50 non turn up fee – this is due to other outside work that may have been turned down in place of the inspection).
It is also your responsibility to make sure any long term vehicles hired from PC Truck Rental are added onto your operator license.
PC Truck Rental will carry out a tail lift loler test every 12 months but if you require an additional test on a 6 month schedule for your compliance you must inform PC Truck Rental so that they can schedule this. The additional cost will be paid by you.
Any vehicle hired from PC Truck Rental is not permitted to leave the UK or be taken overseas (this includes Northern Ireland / Guernsey / Shetland Irelands / Isle of Skye etc).
Any long term hire contracts taken out at the reduced rate will not be granted any stand down time due to drivers holidays or sickness etc. (This is due to PC Truck Rental not being able to re hire long term trucks to other customers with drivers personalising cabs etc.)
To avoid this please switch to a spot hire agreement.
Spot hire agreements are charged at the higher weekly rate and any off hire due to holidays may result in the truck being re hired to another customer in between. If you choose this option, cabs need to be fully valeted and emptied before returning to us to enable us to re hire.
It is important to note that with a spot hire agreement PC Truck Rental cannot guarantee trucks will be available for the exact day you want to rehire.
PC Truck Rental can revoke any hire vehicles at any time if they discover that you are not adhering to our terms and misusing our vehicles.
Penalty charges
It is your responsibility to pay any speeding / traffic violations / parking / striking overhead objects / offences direct to the issuing authority within 7 days under section 66 of the road traffic offenders act 1988. This includes London lez / congestion charging / dart charges. You must also authorise the charge to be transferred into your name and all liability will be accepted by you and then paid direct to the issuing authority.
PC Truck Rental advises that you pay all London lez congestion / dartford crossing charges before you enter the charging zone and that you accept that if you fail to pay on the day direct to the authority online or by phone and you are issued with a penalty charge you will settle this in full to the issuing authority. Please note you are liable as if you were the owner of the vehicle.
You should understand that it is your responsibility to make sure the vehicle you have collected is suitable for your needs – this includes making sure that the vehicle is emissions compliant for the area driving in including making sure you apply for the correct permit for the area.
PC Truck Rental are not responsible for making sure a vehicle is compliant, this is the responsibility of the hirer and any charges as a result of the hirer not making sure the vehicle is suitable will have to be paid direct to the issuing authority.
AD BLUE
IT IS IMPERATIVE THAT THE AD BLUE TANK IS NEVER ALLOWED TO RUN ANYWHERE LOWER THAN HALF A TANK AND THAT THE LEVEL SHOULD BE CHECKED ON A DAILY BASIS.
If the tank is allowed to run low, the on board diagnostic system will be activated and the vehicle will go into power limitation mode to try and save the engine from damage. If this occurs the system will need to be plugged into our diagnostic machine for a full engine system run which can take up to two hours which is rechargeable.
Please note in some cases running low on ad blue can cause major issues and can result in the vehicle requiring a new ad blue dosing unit, injectors and other parts. All resulting costs will be charged to the company or the individual hiring the vehicle. This includes any recovery charges and loss of hire.
Please note costs for running vehicles low on ad blue could be in the region of £6,000.00 so it is very important that the tank is never allowed to be run low and must be kept full at all times! Please can all drivers check that the Ad Blue levels are included in their daily vehicle checking procedures.
If you run the vehicle low and it goes into limp mode then fill the tank back up with ad blue and state to us that you didn’t let it run low or run out, our diagnostic machine will identify this has been done as the sensors store information in the truck. This information is stored on our download will be presented as evidence if you refuse to pay any costs as a result of letting the vehicle run out of ad blue.
Driver Responsibilities
You must understand it is the responsibility of the driver to carry out daily defect checks and the responsibiity of the operator to make sure the checks are being carried out correctly and evidence stored.
Daily checks include wheel security, tyres, all levels, ad blue, air leaks, battery, body, mirrors, lights, braking system, greasing and all other relevant checks.
In the event of a puncture / blow out PC Truck Rental do not cover this in the hire agreement. It is your responsibility as the hirer to make arrangements to have the tyres replaced for new at a cost to you. These must be like for like as per our photos taken on collection – if any tyres are found to be changed and are not like for like on return will result in you being recharged.
If you have the vehicle out on long term hire and tyres are found cut to cords, damaged on inspection or return then replacement new tyres will be recharge. A new tyre will be fitted regardless of current wear on the tyre and will be charged accordingly. To avoid this please check tyres before returning trucks and if damage is found you have an opportunity to replace by your own dedicated tyre company within 24 hours after that time PC Truck Rental will replace for new and recharge.
To avoid this please make sure tyres are monitored at all times and if replacements are needed before the inspection is due please call to book the vehicle in with us.
Any repairs that are carried out on our vehicle by a third party, unless authorised by a PC Truck Rental, will not be covered by us to pay – this will need to be paid direct to the third party by the hirer.
It’s the drivers responsibility to make sure they perform re gens on the truck as and when required failure to do this and block the dpf will be re charged. This can result in costs of up to £3000 to replace the dpf not including any other damage caused. Height indicators are sometimes installed but it the drivers responsibility to check and change the correct hire where applicable – PC Truck Rental do not accept responsibility for making sure height indicators are set correct for the vehicle. You are responsible for all aspects of the vehicle as you were the owner.
It is also the responsibility of the hirer to keep the vehicle clean and you are expected to return the vehicle to us in a presentable condition. If you fail to present the vehicle back to us in the same condition it was first hired then we will charge for a full valet and steam clean. This also stands if you take the vehicle on long term hire and have presented it for inspection or work carried out. If our mechanics find the vehicle un sanitary or unsafe for their health then you will be re charged. May we also remind drivers who are presenting vehicles to us for work carried out to remove all personal items from cabs. Please also note we do charge for bulbs to be replaced. We do not allow substitute diesel to be put in our vehicles this includes bio diesel / red diesel. Substitute diesel can cause major problems with the vehicles engine / injectors so any repairs that need to be carried out as a result of using bio diesel / red diesel will be re charged to the hirer. If you disagree with our findings and state that you have not used substitute diesel It is then your responsibility to prove that you have used the correct fuel producing to us all your fuel receipts
PAYMENT
Account Holders
If you have an account with us our payment terms are strictly 30 days or if you reach your credit limit before the 30 day period payment must be made immediately or your account risks being put on stop and any vehicle you have will be removed. If no payment is received then the outstanding debt will be passed onto our legal team.
Non Account Holders
Payment must be made on the day of collection. If you decide to extend the hire, payment must be made straight away. If no payment is received on the day the hire is due or your card details below decline we will send our recovery team out to remove the vehicle from your possession then any outstanding hire owing and recovery costs will be passed onto our legal recovery team.
We also require a debit or credit card number for security. This is so we can automatically take payments if your hire is overdue / you do not pay any penalty charges when issued / or you damage our vehicle.
Please note in the unfortunate event that your company leaves or dissolves owing us any outstanding invoices the directors of the company will be personally responsible to pay any monies owed direct to PC Vehicle Rental even if the company name doesn’t state their personal details.
